Why Use Microsoft 365 Over Traditional POP or IMAP?

POP Mail

When you use a traditional POP mailbox you are only downloading the email off the server. So, it lives only in the mail program you download it in (Outlook, Thunderbird, Mac Mail). Therefore, if your hard drive crashes or computer dies, you no longer have access to your email, contacts or calendar you may have used on your system.  POP Mail does not offer a sync feature, so you are only able to access all of your emails from that one device.

IMAP Mail

IMAP works in a similar fashion as exchange, but without all of the extras Outlook gives you. IMAP does keep a copy of your email on the server, so you can access it from different places. It often does not sync your outbox/sent items and will not save your drafts; however your inbox will sync across multiple devices. This is good so you can get the same inbox on your phone and PC. The challenge is, you are limited by the disk space on the server and you can only sync what the service allows (email, contacts, calendar) and you don’t get your sent items or drafts.

Microsoft 365 Hosting gives you the most enriched email experience with Outlook Web Access or the Outlook client. You are able to sync all your features, email (including outbox and drafts), contacts, calendar, tasks, and notes. You are able to easily collaborate within your organization with shared mailboxes, calendars, and many other add-ons like Teams, SharePoint, and OneDrive being the most common. Your Outlook web access has nearly all the same features as your Outlook client.

Shared Calendars

You can choose to share calendars with other team members in your organization. This makes booking meetings a cinch. You can know when people are available or not. Shared calendars can also be used for booking Conference Rooms and more.

Shared Contacts

Having a Global Address book in your organization allows for contacts to be shared within Outlook throughout your team. Every time you load your outlook, log into your phone outlook, or log onto web outlook, your contacts are always available and up to date.

Groups

You can set up groups to be used in a variety of ways. It may just be a distribution group, which is one email that sends to many different people. You can require that only certain people send to this email, or that only certain people can approve messages to be sent through a moderator. Finally, you can set it so only emails @yourdomain.com can send/receive from it. The best thing about groups, is they are unlimited and free! No license fees and no limitations. Groups can be helpful for generic email groups (i.e. staff@ or invoices@) to keep your team organized and in the know.

User Rules

Microsoft 365 Exchange has a powerful administrative backend. Individuals can set rules in their outlook/web outlook for ease of organization. You can move something to a folder, send an automatic forward/reply, create an appointment, and so much more. The options are endless. For administrators, rules can be applied to multiple email addresses or the entire domain. For instance, a rule can be added so if you add #Secure to the subject or body, the email will automatically be sent encrypted.

Shared Mailboxes

Shared Mailboxes are very useful when multiple people need to be able to work from the same mailbox. When you set up a shared mailbox, you tie it to was many licensed users as you would like. It becomes a fully functioning second mailbox in your Outlook. You can send, receive, create meetings, etc. Users can see what other users who are part of the shared mailbox have done (emails sent, drafts, etc.). This is most often used for generic emails like sales@ where you have multiple salespeople responsible for managing the emails. This ensures others know where communications are and customers get timely responses with multiple people manning the mailbox. The benefit is, NO Cost! Yet, you retain a fully functioning mailbox. You can send from that address, so it does not have to show an individual’s email. This is great for a sales team or team that may have rotating members or temporary employees.

Audit Trails

Recording and alerting is important in maintaining compliance. Administrators can be alerted if an email forward is setup, too many failed login attempts, foreign IP login attempts, too many emails were sent out, passwords changes, etc. and the list goes on. In addition, administrators can look through logs to identify who did what when! In the past, this has been a challenge to being in the cloud. You didn’t always have this insight that you could have within your own infrastructure. Microsoft has not only given the information, but the tools to automate, review, and remediate situations.

Encrypted Email

Sometimes email is just quicker and easier! But is it safe? Sending emails encrypted it safe and secure and meets compliance when sending confidential information. Just like when you are entering a credit card in online, you can send emails encrypted and ensure only the person you sent it to can see the email. You can take it a step further and limit those emails so only certain people can see it or only people within your organization can have access to it. These features can restrict printing, forwarding, and copying of your email in addition to putting an expiration on it.

Multi-Factor Authentication

Everyone should have this turned on to protect your account. This will ensure no one is in your account without your knowledge because you have to be notified and take action by phone or email. You can set up multiple authentication options, so if you don’t always have your phone or multiple users log into the same account, you can still take advantage of the security feature. It is the easiest, quickest, smartest way to lock down your cloud account! Another included feature with Microsoft 365 that not enough people take advantage of. Sometimes it takes being compromised to truly appreciate Multi-Factor Authentication.

Connectors

Many businesses use a host of business applications, which send out invoices, newsletters, marketing material, customer updates, and so much more. Connectors allow us to connect these applications into the domain, so it can be a trusted source for sending emails. It can also be set up to allow certain header information to come through or not, so your emails are not marked as spam.

Message Trace

It is frustrating when you know you should have an email but it is not in your inbox. We love the Message Trace feature in the Exchange Admin Portal. Not only will it confirm if the message hit the server, but if it is quarantined, sent to junk, or moved to another folder and why. It simplifies troubleshooting email delivery.

Once you have your administrator set up the Rights Management or add a rule, you will be able to send email securely. On a new message, go to options, and you will have an Encrypt or permissions options to choose how you would like to encrypt the message. The user you send the message to, will have to log into webmail in order to review the message. This confirms that the user is in the proper mailbox and has the rights to view the message.

Yes, you need to backup your Office 365 emails. Microsoft does a great job of making sure your email is up and running and flowing. However, they do not backup due to deletions, accidental or malicious actions. Therefore, it is best to use a third party to backup your emails so that you can fully recover if items were deleted.
